For transport companies · Diesel slips

Diesel slips from every route in Namibia, checked by the next morning.

Walvis Bay to Windhoek, the Trans-Kalahari to Gobabis and Buitepos, the Trans-Caprivi to Katima Mulilo: every fill on the road is a slip someone in your office types and checks. Your drivers WhatsApp a photo of each slip, and by 7 the next morning your fuel sheet is checked, one tab per truck, with anything that doesn't add up in red.

Why it matters now

Diesel is your biggest cost, and the slip is your only record.

Diesel, Namibia+42%

50ppm diesel went from N$19.63 a litre in February to N$27.86 in October.

Every fill6 fields

Date, plate, station, odometer, litres and amount, typed by hand, slip after slip.

One digitTwo trucks

A plate typed one digit wrong books a fill to the wrong truck, and the km per litre of both stops making sense.

Month endToo late

A fill checked weeks later is a question the driver can no longer answer.

How it works

Three steps, nothing to install.

  1. The driver sends a photo

After every fill, one photo of the slip on WhatsApp. That is all the driver does.

  2. Every slip is read and checked

Truck, date, station, litres, price and odometer, checked against the tank size, the last fill and the truck's usual km per litre. A person checks every row against its photo.

  3. Your sheet before 7 every morning

One tab per truck, in Excel, with anything that doesn't add up in red and the reason beside it.

What it looks like

Made-up slips, the way your sheet would show them.

Questions

What fleet owners ask.

Do you work with transport companies in Namibia?

Yes. We work by WhatsApp and email from Johannesburg, so the town your trucks are based in makes no difference.

Our trucks fill in Namibia and Botswana. Does that matter?

No. A slip from Buitepos or from Gaborone is read the same way, in N$ or Pula, and lands on the same truck's tab.

How do we pay from Namibia?

Monthly in advance, through your bank's cross-border payment to our South African account. The Namibia dollar and the rand are at par, so the amount does not move.

Do our drivers need an app?

No. They send a photo on WhatsApp, which they already have.

What gets marked red?

More litres than the tank holds, the same slip sent twice, two fills for one truck on the same day, more diesel per km than the truck's usual, and a price above the station's usual.

Will this cost our clerk their job?

No. We take the typing away, not the person. The time goes into the red rows.

Where is our information kept?

On our own computer in South Africa, under a one-page data agreement signed before your first slip. Stop, and we delete our copies within 30 days.
