For fleets · Fuel slips

Fuel slips into your Excel sheet, checked by morning.

For hauliers, contractors, mining contractors and manufacturers whose trucks fill up at the pumps. Your drivers send a photo of each slip on WhatsApp. By the next morning it is a row in your own fuel sheet, with the photo beside it, and anything that looks wrong is marked red with the reason. Your team stops typing slips and checks the few rows that matter.

What the slips cost

A slip typed at month end is a question nobody can answer.

Every fill is a slip, and every slip is six fields someone retypes. By the time it is typed, a wrong fill is weeks old and the driver has forgotten it.

Diesel, Namibia+42%

50ppm diesel went from N$19.63 a litre in February to N$27.86 in October.

ContractorsAbsorb it

Where a contract has no fuel-price clause, the Construction Industries Federation says the contractor carries the increase.

One digitTwo trucks

A plate typed one digit wrong books a fill to the wrong truck, and the km per litre of both stops making sense.

Every fill6 fields

Date, plate, station, odometer, litres and amount, typed by hand, slip after slip.

What you get

Your sheet, filled and checked.

Your sheet, your columns

Rows land in the Excel you already keep, in your own column order. Nothing new to learn.

The photo on every row

Each row carries its slip number and the photo it came from, so anyone can check it in one click.

Red rows with the reason

More litres than the tank holds, a plate not on your fleet list, km per litre far off the truck's usual, the same slip sent twice.

Nothing new for drivers

They use the WhatsApp they already have. No app, no tag, no tracker to fit.

What it looks like

Three made-up slips, the way your sheet would show them.

Sample rows from made-up slips. Real rows also carry the date, station, odometer, price, amount and the photo.

How it works

A week on your own slips before anything is agreed.

  1. A free week on a few trucks

Send us your fleet list (plate, type and tank size) and your sheet's column headings. Pick a few trucks that fill often.

  2. A photo per fill

Drivers send each slip on WhatsApp straight after filling. Your team keeps typing as normal that week, so you can compare.

  3. Your sheet every morning

Checked by a person before it goes out during the free week. At the end you decide. Nothing carries on without your yes.

Price

One price for the whole fleet.

From R2,000 (N$2,000) a month for the whole fleet, new vehicles included, after the free week. No set-up fee. Month to month, with one month's notice. Invoiced in rand, paid by EFT.

Your clerk stays

They keep their job and lose the typing. The time goes into the red rows.

Your data stays here

Photos are read on our own computer in South Africa and not sent to any outside AI service.

A red row is a question

It is not proof of anything. Any decision about a driver is yours.

A one-page data agreement

Signed before your first slip. Stop, and we delete our copies within 30 days.

Questions

What fleet owners ask.

Do our drivers need an app?

No. They send the photo on WhatsApp, which they already have.

Which slips can it read?

Printed till slips read best, even when the photo is taken sideways. Anything it cannot read for certain is marked for a person, never guessed. A handwritten invoice beside the slip stays with the photo for your records.

We use fuel cards. Do we need this?

A card takes away the typing, not the checking. Send us a month's statement and the slips paid off the card, and we check them together: odometers keyed wrong at the pump, cash and cross-border fills, and km per litre far off each truck's usual.

What about diesel from our own tank?

Tell us how you record it today. We are testing a version for fills from your own tank or bowser, and we will only offer it once it works on real photos.

Where is our information kept?

Photos are read on our own computer in South Africa and are not sent to any outside AI service. You stay the responsible party under POPIA, and we sign a one-page data agreement before your first slip. If you stop, we delete our copies within 30 days.

Will this cost our clerk their job?

No. We remove the typing, not the person. The time goes into checking the red rows and chasing what matters.

What does it cost?

From R2,000 (N$2,000) a month for the whole fleet after the free week, new vehicles included. No set-up fee. Month to month, with one month's notice.

Which countries do you work in?

South Africa, Namibia, Botswana and further: anywhere your drivers have WhatsApp. We are based in Greenstone Hill, Johannesburg.
